Job Description

Under general supervision, assists in the direction and coordination of several extramural training grant programs. Coordinates program activities and acts as a liaison to all interested stakeholders such as the grant principal investigators (PIs), UT Office of Sponsored Programs (OSP), UT Office of International Services (OIS), our partner institutions, internal and external advisory boards & committees. Requires excellent communication and organizational skills and the ability to exercise independent judgment.

Coordinates and plans recruitment initiatives so that training grant applications are available to fill vacant positions at all times. Assists PIs in the development of the training grant websites and recruitment content. Works with selected finalists, mentors, home departments, Human Resources and UT payroll or accounting to ensure that the program begins and ends in a timely manner. Communicates training program status to all interested stakeholders.

Monitors and tracks the progression and planned development of fellows through the various program year 1 milestones, such as: enrollment in required didactic courses, participation at required seminars, and the progress of an individual development plan. Other fellow annual milestones are: attendance and presentation at a grant external meeting and at a scientific conference. Tracks and communicates milestone status to all stakeholders such as publication of articles in scientific / educational journals and fulfilling the teaching and research obligations at our partner institutions. Ensures that each program has accurate and up-to-date records of applicants, trainees and program status. Responsibilities include monitoring program milestones and publications attributed to the program, travel and end date for each fellow. Oversees the compilation of this data into formats required by the sponsor.

Assists PIs and OSP with submission of the annual grant progress reports and competitive renewal submissions sent to extramural sponsors. Works with PIs and OSP to ensure that all reporting requirements are completed and included in the submission. Follows up with OSP and extramural sponsor to ensure that subsequent year budget is released in a timely manner so that funding is not interrupted.

Assists PIs and other interested stakeholders in developing the program for the annual special summer training sessions, workshops and retreats. Identifies potential venues and obtains cost estimates that can be presented to the PIs, UT Purchasing & Accounting. Negotiates with vendor to obtain the best proposal.

Acts as liaison with OIS and fellows’ home department for fellows that are visa holders. Ensures that the fellow, mentor and home department are aware of any special restrictions due to visa status. Other duties as assigned.
