Job Description

To provide managerial oversight for day to day operations for the Department of Primary Care clinical operations by serving as a liaison between the provider and clinical enterprise

Personnel management: recruits, hires new staff. Coaches staff to achieve maximum results. Develops and provides training to clinical and front end revenue staff as needed. Provides feedback to all staff regarding performance and achievement of goals on an ongoing basis. Works collaboratively with the Clinic Medical Director, Administrator Practice Director to assess effectiveness of staff. Developing effective interdisciplinary teamwork (Physicians, NP’s, Nursing Staff, Pharmacist, Dietician, clinical and clerical staff, etc.). Lead daily huddles. Lead and manage weekly team meetings for the Primary Care clinic. Liaison with other Practice Managers in UT Medicine to ensure timely scheduling of referred patients with psychiatry providers. Provide supervisory controls for employees related to time and attendance, work assignments, and performance evaluation.

Clinical Workflow: Assess clinical workflows to include but not limited to: patient intake, MyChart activation, quality of clinical documentation, quality of support provided to physicians, quality of managing overdue results and patient messages. Organizes work flow to achieve effectiveness and efficiency for physicians. Makes staff assignments based on fluctuating workloads to achieve smooth throughput of patients in the clinic. Assists with improving the utilization of electronic health record including PQRS/PCMH requirements. Access management and care coordination across all settings. Managing nursing home schedules for skilled rehab and long term care patients. Making sure patients are seen and discharged in timely manner. Comprehensive clinical assessment of all patients with ability to triage/prioritize patient needs. Communication with patient, caregiver, and health care team of a comprehensive plan of care. Patient, family/caregiver and staff education. Ensure proactive patient management and follow up according to care plan. Ensure management and coordination of all transitions of care. Direct caregiver support including telephone/virtual advice. Ensure and support after hours on call service for the clinic when required. Perform relevant clinical functions within nursing scope of practice

Front end revenue cycle: Oversees all activities related to scheduling, message-taking, MyChart message intake, check-in and out, cash management, authorization, referrals and dismissal. Ensures Epic work queues are managed by staff on a daily basis. Provides training and feedback to continuously improve the performance of the clinic call center. Ensure front desk staff consistently demonstrate a patient friendly attitude and create a positive initial impression for patients. Use health information technology to support patient care access. Create directories, develop policies, improve processes, and align resources in order to better serve our patients and their caregivers.

Budget: In conjunction with the Department Administrator, help develop the operating expense budget. Works with the providers and staff to ensure visits/ RVU goals are met by each provider. Reduces the missed appointment rates to ensure all revenue opportunities are maximized. Monitors budget variances throughout the fiscal year.
