Job Description

To provide general administrative support to the Vice President for Academic, Faculty and Student Affairs (VP-AFSA); the Assistant to the VP-AFSA; Manager, Finance and Administration; and other administrators as assigned.

Preferred Qualifications

The ability to excel in a complex, fast-paced, high level environment and advanced proficiency with Microsoft Office products, especially Outlook, Excel, Word, PowerPoint, and Visio. Experience with document processing using Adobe Acrobat, Word Press, PeopleSoft Financials, Human Capital Management (HCM), Concur Travel and other UT Health Science Center business applications is highly desirable.

Job Duty

Responsible for administrative support for the Vice President, Assistant to the Vice President, and Manager, Finance and Administration. Responsibilities in this area include, but are not limited to: Calendar management for three senior-level professionals; initiates routine and some non-routine correspondence and memoranda for review and approval by the Vice President and/or the Assistant to the Vice President. Process faculty appointments, with oversight provided by the Assistant to the Vice President. Will also provide assistance to other administrators as needed.

Manages the operational and administrative processes for the unit to include but not limited to: Answers and screens telephone calls and resolves routine and complex inquiries. Responsible for travel related processes, reimbursement and reporting requirements; voucher processing; PeopleSoft e-procurement; and serves as the department procard holder. Manages the financial reconciliation process for the unit with oversight by the Manager, Finance & Administration.

Manages leave report for the department. Serves as the property control and records management representative.

Provides administrative support to institutional committees such as the Faculty Senate, the Presidential Awards committees, and university-wide committees. Manages and coordinates website content to ensure information is up to date and accurate.
