Job Description

The application administration analyst is responsible for ensuring reliability of the timekeeping operating system and oversight of payroll activities for the Long School of Medicine/institution. These activities include, but are not limited to: managing and monitoring daily operational timekeeping processes and working parameters to support clinical, academic, and research operations; oversight of enrollment of new hires on timeclock and usage, payroll accounting activities, maintains user profiles and configuration to include exclusions table, updating annual holiday/mission critical days; creation of new pay codes, pay rules, etc.; reconciliation of accruals with the institutional leave system; conducts quarterly audits on timecard review to ensure completion of manager approvals and identifying any leave without pay issues that would require HCM entry; implementation and monitoring control routines to assure system integrity to include maintaining and researching technical documentation.

Preferred Qualifications

Supervisory experience is preferred. Knowledge of computer systems, software applications, and automated time and attendance systems such as Kronos. Knowledge of Federal, State and higher education accounting and reporting requirements and standards.

Performs troubleshooting and follows defined processes to review and monitor the Kronos system integrity, import and export files. Guides and advises both functional support users (UTHP & SOMAdmin) and operational end-users/management to resolve technical issues. Responsible to maintain and support the day-to-day use of the Kronos system, identifying areas for improvement and troubleshooting issues. Ensures the accurate data and maintenance of the institution’s automated time and attendance system. Evaluates the application’s requirements, establishes priority needs and identifies and researches appropriate technical solutions. Collaborates with all institutional functional support areas and end users on current and future system needs.

Serves as liaison with end-users, human resources and information systems in resolving programming and related problems. Defines and documents operational processes to produce practical requirements and/or identify process improvement opportunities.

Oversees and maintains the timekeeping configuration to include but not limited to accruals, leave, attestation, pay rules and timeclocks. Ensures accurate and timely processing of payroll. Performs and reconciles employee and pay data import files. Reconciles leave accruals between Kronos and the institutional leave system (DRS), to include adjustments to prior state service credit.
