Job Description

Performs complex administrative duties for the Department Chair or equivalent executive level positions in clinical operations. Directs and coordinates daily operations of office and/or program. Serves as staff and resources person. Acts as liaison with internal and external groups, offices/ and constituents. Compiles data, statistics and other information and materials for meetings, lectures, etc. Composes correspondence for Chair and or Executive level equivalent signature. Plans events and performs special projects

Preferred Qualifications

The preferred candidate will have proficient computer skills and in-depth knowledge of relevant software such as MS Office suite. Knowledge of standard office administrative practices and procedures.

Job Duty

Responsible for providing key administrative coordination on the daily activities of the Chair’s and Administrators office in support of its academic missions. Responsibilities include troubleshooting, prioritizing, and acting upon and/or reassigning inquiries or problems on behalf of the Chair and Administrator. May convey instructions and information from the Chair and Administrator to departmental faculty and staff members, frequently involving information of a highly confidential nature. Exercises considerable judgment in accurately communicating not only the message, but the tone and intent of the Chair and Administrator. Actively plans and coordinates appointments and maintains the fluid calendar of the Chair and Administrator, which includes business schedules, speaking engagements and committee meetings.

Job Duty

Provide excellent customer service, telephone communication and support for Department programs. Adheres to department policies as set by the Chair and management of the Department. Interfaces on a daily basis with University senior management offices, Medical Center Administration, officials in the Dean’s Office, Clinical and Basic Science Chairs, and other senior representatives of University, its affiliates and constituents.

Job Duty

Arranges travel related plans, including reservations, transportation, and accommodations, and prepares itineraries and materials pertinent to all meetings and travel. Responds to incoming calls for the Chair and Administrator, troubleshooting, clarifying policies, exercising independent judgment when referring and/or providing solutions to identified issues. Drafts and prepares the Chair’ s and Administrators confidential and administrative correspondence. Reviews and edits manuscripts; transcribes, types and maintains copies of Chair’ s updated CV, depositions, reports, journal reviews, grants and other documents. Edits and approves for signature any correspondence prepared by other department personnel. Maintains credentialing packet updates and submissions. Prioritizes and ensures that all incoming correspondence and mail for the Chair and Administrator requiring action or attention are acted upon in a timely fashion. Other duties as assigned.
